    This Cancellation Policy outlines the terms and conditions for cancelling, rescheduling, or modifying your inflatable equipment rental with Sugar Party Co Inflatables.

    1. Cancellation Timeframes and Refunds

    Our cancellation policy is based on how much advance notice we receive before your scheduled event date:

    7+ Days Before Event

    • Full Refund: 100% refund minus 3% credit card processing fee
    • Free Rescheduling: No additional charges to reschedule
    • Equipment Changes: Modifications allowed without penalty

    3-6 Days Before Event

    • Partial Refund: 50% refund of total rental amount
    • Rescheduling Fee: $25 administrative fee for date changes
    • Equipment Changes: Limited modifications available

    24-72 Hours Before Event

    • Limited Refund: 25% refund of total rental amount
    • Rescheduling Fee: $50 administrative fee for date changes
    • Equipment Changes: No modifications allowed

    Less Than 24 Hours or Day-of Event

    • No Refund: 0% refund - full rental amount is forfeited
    • No Rescheduling: Booking cannot be rescheduled
    • Exception: Medical emergencies considered case-by-case

    2. Weather-Related Cancellations

    2.1 Severe Weather Conditions

    We understand that weather can be unpredictable. Special provisions apply for severe weather conditions:

    Automatic Weather Cancellation Triggers:

    • Sustained winds of 15+ mph or wind gusts of 25+ mph
    • Active thunderstorm warning in effect
    • Heavy rain, snow, or hail
    • Temperature below 40°F or above 100°F
    • Tornado watch or warning

    2.2 Weather Cancellation Options

    • Full Refund: 100% refund with no processing fees
    • Reschedule: Move to any available date within 6 months at no charge
    • Credit: Receive account credit valid for 12 months
    • Proceed Anyway: Customer assumes all weather-related risks

    2.3 Weather Decision Timeline

    • Weather conditions evaluated 12 hours before event
    • Customer will be contacted by phone or email if cancellation is recommended
    • Final weather decision made 2 hours before scheduled delivery
    • Customer may cancel for weather up to 1 hour before delivery

    3. Rescheduling Policy

    3.1 Rescheduling Guidelines

    • New date must be within 6 months of original booking
    • Subject to equipment availability on requested date
    • Rescheduling fees apply based on timing (see Section 1)
    • Peak season dates may require additional fees
    • Only one reschedule allowed per booking

    3.2 Peak Season Considerations

    Peak Season Dates (Additional Fees May Apply):

    • Memorial Day through Labor Day weekends
    • Spring Break weeks (varies by location)
    • Halloween weekend
    • All major holiday weekends

    4. Emergency and Medical Cancellations

    4.1 Qualifying Emergencies

    We understand that genuine emergencies occur. The following situations may qualify for emergency cancellation consideration:

    • Documented medical emergency or hospitalization
    • Death in immediate family
    • Natural disaster affecting event location
    • Military deployment or emergency duty
    • Court-ordered appearance or jury duty

    4.2 Emergency Documentation Required

    • Medical documentation from licensed healthcare provider
    • Death certificate or obituary notice
    • Official military orders
    • Court documentation or jury summons
    • Insurance claim documentation for disasters

    Emergency cancellations are reviewed case-by-case and may be eligible for full refund or rescheduling without penalty.

    5. No-Show Policy

    Customer No-Show

    If our delivery team arrives at the scheduled location and cannot complete setup due to:

    • No one present to receive delivery
    • Unsafe or inaccessible location
    • Customer-related delays exceeding 30 minutes
    • Refusal to sign liability waiver

    The rental will be considered a "no-show" and no refund will be provided.

    6. Refund Processing

    6.1 Refund Timeline

    • Approved refunds processed within 3-5 business days
    • Credit card refunds appear within 7-10 business days
    • Processing fees are non-refundable (3% of transaction)
    • Refunds issued to original payment method only

    6.2 Account Credits

    • Credits valid for 12 months from issue date
    • Can be transferred to family members
    • Applied automatically to future bookings
    • No cash value - cannot be redeemed for cash

    7. Special Circumstances

    7.1 Equipment Malfunction

    If equipment fails due to manufacturing defect or company error:

    • Immediate replacement equipment if available
    • Full refund if replacement not possible
    • Compensation for event disruption considered case-by-case

    7.2 Company Cancellation

    If Sugar Party Co Inflatables must cancel your booking:

    • Full refund including all fees
    • Priority booking for alternative dates
    • Discount on future rentals
    • Assistance finding alternative rental providers

    Sugar Party Co Inflatables reserves the right to modify this Cancellation Policy at any time. Changes will be posted on our website and customers will be notified of material changes. Bookings made before policy changes will be honored under the original terms.
